Expo Hours
- Thursday, July 28: Expo setup 1-3 p.m.
- Estimated number of athletes/participants onsite throughout the day: None - setup only
- Friday, July 29: Expo setup 7:30-8:30 a.m., Expo open 9 a.m.-4 p.m.
- Estimated number of athletes/participants onsite throughout the day: 1,000 with 200-400 onsite at any give time
- Suggested staffing: 1 representative
- Saturday, July 30: Expo open 8 a.m.-3 p.m.* (racing starts at 7 a.m. and ends at 5:30 p.m.)
- Estimated number of athletes/participants onsite throughout the day: 1,000 with 500-600 onsite at any give time
- Suggested staffing: 1 representative
- Sunday, July 31: Expo open 8 a.m.-12 p.m., Expo tear down 12-2 p.m. (racing starts at 7 a.m.)
- Estimated number of athletes/participants onsite throughout the day: 700 with 200-400 onsite at any give time
- Suggested staffing: 1 representative
Note: Packet pickup will be inside on Friday at the Lodge. Vendors may setup either inside or outside on Friday. Saturday and Sunday expo will be outside.
Items Provided
- One (1) 6-foot table & two (2) chairs per 10’x10’ space
- Access to power (if you need more than 120V, please let us know)
- Lunch, Saturday and Sunday
Security: Overnight security is provided starting on Tuesday. Please make sure to bring a tarp or alternative cover to secure you items, rather than leaving boxes loosely in your area. Public areas are very hard to secure, even with security, and items may be more liable to theft if left visible.

Setup
- Vendors will be able to park within walking distance of the grass expo in front of the Ronald Reagan Lodge (Tanner will have parking passes onsite)
- Upon arrival, please contact Tanner. He will assist you with locating your setup location within the expo footprint. Click here to view the event maps, including the expo location.
- Vendors are required to bring their own sandbags, stakes or cinder blocks to secure their tent locations. Vendors who do not comply with this request by 12 p.m. on Friday will be provided with sandbags and charged a $100 rental fee for use during the event.
Tear Down: Vendors will be able to park within walking distance of their expo location on Sunday. Vendors will be required to clean up their expo area and breakdown any boxes prior to throwing them away onsite. There will be a dumpster located near the expo for all trash/recycling during and after the event.
Parking: Event parking with be available within walking distance to the expo using the entrance off of Butler-Warren Road. Please ask Tanner for your parking pass upon arrival during set up. Click here to view parking lots ("℗") on the parking map.
Shipping Arrival: All shipments must be arranged by the expo vendor and can be sent to the following address for arrival between July 26-28 from 8:30 a.m. - 5 p.m. Pallets must arrive on Tuesday or Wednesday from 8:30 a.m.-5 p.m. local time. Any shipments delivered on pallets must be delivered by a truck with a lift gate. USAT will not be able to assist with offloading pallets from delivery vehicles.

Departure (this information may change): All loose boxes must leave the venue on Sunday. Each expo vendor must arrange outbound shipping with a pickup by 5 p.m. on Sunday from the venue, or facilitate off site outbound shipping (e.g., freight carrier, hotel, UPS, FedEx etc.). Any items remaining after 5 p.m. on Sunday, July 31 are the responsibility of the owner (vendor) and USA Triathlon is not liable for any damages, theft etc. that may occur.

Ice Access: Will we have access to ice onsite to support our expo needs?
USA Triathlon will provide access to a limited amount of ice per vendor at the start of each day; please ask the onsite contact for assistance when needed. If you need substantial amounts (e.g., to fill a large hydration container) it is recommended to bring your own ice.
Items Provided: Will USA Triathlon provide additional items like tents, more tables/chairs, extension cords or other typical expo-related needs?
Only the items listed under the “Items Provided” section above are guaranteed. USA Triathlon is unable to source extension cords, but can help facilitate tent needs (e.g., 10x10, 10x30, 10x60 etc.) if requested at least 30 days ahead of time and inventory is available for rent; all associated cost to be incurred by vendor. Additional chairs and tables may be available but should be coordinated with USA Triathlon prior to the event to ensure availability.
Sandbags: Does USA Triathlon provide sandbags or weights?
No, USA Triathlon does not provide any type of weights (sandbags, weights etc.) for expo vendors. Vendors are encouraged to bring at minimum of (4) weights to help secure their expo location. It is not uncommon for large gusts of wind to come through the venue. Vendors will be charged a fee onsite for any sandbags/weights that need to be provided by USAT if not brought by vendor.
Minor Athlete Abuse Prevention Policies (MAAPP)
The U.S. Center for SafeSport created the Minor Athlete Abuse Prevention Policies (MAAPP), a collection of proactive prevention and training policies for the U.S. Olympic and Paralympic Movement to help create a safer and healthier environment in which minor athletes can thrive.
The MAAPP was originally released in 2019 to support organizations and individuals in preventing abuse in sport and meeting requirements under federal law. As a member of USA Triathlon and participant or volunteer/contractor at a USA Triathlon National Championship event, you are required to follow these policies.

The MAAPP focuses on in-program contact between an adult participant and a minor athlete, and covers the following Required Prevention Policies: One-on-One Interaction, Meeting and Training Sessions, Athletic Training Modalities, Massages and Rubdowns, Locker Rooms and Changing Areas, Electronic Communications, Transportation, and Lodging.
One-on-One Interaction, Athletic Training Modalities, Massages and Rubdowns, Locker Rooms and Changing Areas apply at all facilities or locations that are partially or fully under the jurisdiction of USA Triathlon. Partial or full jurisdiction includes the following:
- Any sanctioned event or competition by USA Triathlon
- Any facility that USA Triathlon owns, leases, or rents for competition, training or practices
- Any hotel or lodging that the team is using when traveling to a sanctioned USA Triathlon event or competition
All of the Required Prevention Policies must be followed by:
- Adult participants of USA Triathlon who have regular contact with minor athletes
- Adult participants authorized by USA Triathlon to have regular contact with minor athletes
- Adult participants authorized by USA Triathlon to have authority over minor athletes
- Adult staff and board members at USA Triathlon
One-on-One Interaction, Athletic Training Modalities, Massages and Rubdowns, Locker Rooms and Changing Areas ALSO need to be followed by:
- Any adult participant at a facility that is partially or fully under the jurisdiction of USA Triathlon.
As a reminder, all adult participants – including those with one-day memberships – are Mandatory Reporters. If you see or hear a report of any form of abuse, whether it is sexual, physical, mental or another type of abuse you are required to report that abuse within a 24-hour period. You can file a report to the Center through its online reporting form or by calling the Center at 833-587-7233.
